Who we are
This practice is operated by Mano Vaithianathan, Sales Representative, under RE/MAX ACE Realty Inc., Brokerage (1286 Kennedy Road, Unit 3, Toronto, ON M1P 2L5). Mano Vaithianathan is the privacy contact for this practice.
What we collect
We collect personal information only when you choose to provide it, or as a routine side effect of visiting the website. Specifically:
- Information you submit through a contact form: name, email address, phone number (optional), and any details you share in the message or form-specific fields (property type, budget, timeline, etc.).
- Technical information automatically logged when you submit a form: your IP address, browser user-agent, and the timestamp of the submission. Server access logs (kept by our web server) also record this for short-term security purposes.
- Approximate geographic location derived from your IP address (city and region), looked up through a third-party IP-geolocation service when we open your enquiry in our admin tool. Accuracy is typically city-level and may be imprecise.
We do not use website analytics, tracking pixels, advertising cookies, or social-media trackers on this site at the time of writing. If this changes, this policy will be updated and the change will be reflected in the "Last updated" date above.
Why we collect it
We use the information you provide for these legitimate business purposes:
- To reply to your enquiry and provide the real-estate services you've asked about
- To prepare for a first conversation or showing (so we don't waste your time re-asking the same questions)
- To meet our professional obligations under the Trust in Real Estate Services Act (TRESA) and the rules of the Real Estate Council of Ontario (RECO), including record-keeping
- To detect and prevent spam, abuse, or automated form submissions
Who can see it
Your information is accessed only by Mano Vaithianathan personally. It is not sold, rented, traded, or shared with marketing partners.
Limited, purpose-specific disclosure may occur in these situations:
- Your brokerage — RE/MAX ACE Realty Inc., Brokerage may access transactional records as required by RECO and brokerage policy.
- Professional partners only with your knowledge — for example, a mortgage broker, real-estate lawyer, home inspector, or property manager whom you've asked us to coordinate with.
- Service providers that operate our infrastructure — our cloud hosting provider (Microsoft Azure, in Canada), our DNS provider (Hostinger), and a third-party IP-geolocation service (db-ip.com) which receives only an IP address and returns a city/region. These providers handle data on our behalf and do not use it for their own purposes.
- Where required by law — for example, in response to a valid court order, regulator request, or to comply with the Anti-Money Laundering and Anti-Terrorist Financing rules under FINTRAC.
How long we keep it
- Contact-form submissions: kept indefinitely unless you ask us to delete them, since real-estate relationships often re-emerge years later.
- Server access logs (IP, request, timestamp): rotated and deleted automatically within 30 days.
- Transactional records once we work together: retained for the period required by RECO and applicable law (typically six years from the date of the transaction).
How we protect it
The website is served over HTTPS with a valid TLS certificate. Personal information is stored in a database that is only accessible from our internal admin tool, which requires password authentication. Administrative access is limited to Mano Vaithianathan. Backups are stored in the same Canadian region as the live database. No system is perfectly secure, but we apply reasonable safeguards proportional to the sensitivity of the data we hold.
Your choices and rights
Under PIPEDA, you have the right to:
- Access the personal information we hold about you
- Correct any inaccurate information
- Withdraw consent and ask us to delete your information at any time (subject to limited legal exceptions, like retention requirements for completed transactions)
- Be told who we've shared your information with

Children
This website and our services are intended for adults engaging in real-estate transactions. We do not knowingly collect personal information from anyone under 18.
External links
The website includes links to third-party resources (e.g., the Landlord and Tenant Board forms on tribunalsontario.ca, OREA's standard forms portal, the Ontario Standard Lease form). When you follow those links, the privacy practices of those sites apply, not ours.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top. Continued use of the website after a change indicates acceptance of the revised policy.
